Director, Marketing Systems & Operations

Hybrid Schedule (subject to change): In office two days a week, Tuesday and Thursday. Remote Monday, Wednesday, and Friday. This schedule may change based on department’s needs and meetings.
Position Budgeted: $120,000.00 to $150,000.00
Position Summary:
The Director, Marketing Systems & Operations is responsible for building, maintaining, and continuously improving the systems that support The Boston Foundation’s marketing and communications work. Reporting to the Chief Marketing Officer, this role is accountable for ensuring that TBF’s marketing technology, data, and workflows operate as a coordinated, reliable system in support of audience growth, donor engagement, and campaign readiness.
This role focuses on the systems, data, infrastructure, and metrics tracking that enable effective marketing and communications across the organization. It emphasizes designing scalable, well-governed operations—spanning Salesforce, Pardot, WordPress, and related platforms—so that teams have the tools, processes, and insights they need to execute their work efficiently and effectively. Success in this role requires strong technical fluency, systems thinking, and the ability to translate strategy into durable, organization-wide marketing operations.
Essential Functions:
Marketing Systems & Infrastructure
- Manages day-to-day operation of TBF’s marketing operations ecosystem, including Salesforce (marketing use cases), Pardot, WordPress, and related integrations;
- Designs and maintains marketing systems that support audience growth, segmentation, personalization, and performance measurement; and
- Ensures marketing technology is used consistently and intentionally across teams.
Website Management & Platform Migration
- Leads the migration of TBF.org from Sitecore to WordPress, in partnership with internal stakeholders and external vendors;
- Oversees ongoing website operations post-migration, including regular updates to content on TBF.org and other affiliated sites, paired with governance, workflows, integrations, and sustainability; and
- Ensures the website platform supports frequent updates, campaign storytelling, accessibility, and integration with CRM (Customer Relationship Management platform), email and necessary third-party web tools.
CRM, Email & Data Architecture
- Responsible for marketing-related data structures within Salesforce, including audience definitions, attributes, data governance, segmentation logic, and email templates;
- Oversee the production and distribution of multimedia content through Pardot for the Foundation and its key initiatives;
- Strengthens and maintains Salesforce–Pardot integration to support targeted, relevant communications; and
- Establishes and documents data governance practices, including field ownership, quality control, and maintenance standards.
Reporting, Measurement & Optimization
- Develops and maintains dashboards and reports that track marketing performance across web (experience with Google Analytics), email, and social channels;
- Ensures leadership and teams have access to clear, trusted data to support decision-making and continuous improvement; and
- Identifies opportunities to reduce manual work and improve efficiency through better system design.
Cross-Functional Enablement
- Supports the cross-functional Editorial Team by translating strategy into operational systems and technical requirements;
- Expertise with leveraging SEO (Search Engine Optimization) and AEO (Answer Engine Optimization) that optimizes and drives strategic content creation across web and overall online presence;
- Partners with Communications, Philanthropy Operations, IT (Information Technology), Public Affairs (and other departments as needed) to align tools, data, and workflows; and
- Provides guidance, standards, and support to teams using marketing systems, helping establish consistent practices over time.

Qualifications
Preparation, Knowledge, Previous Experience:
- Bachelor’s degree or equivalent experience; and
- At least 5–8 years of experience in marketing operations, CRM management, or digital marketing systems.
Skills, Abilities, Competencies:
- Strong experience with Salesforce; marketing automation experience with Pardot strongly preferred;
- Experience with Google Analytics preferred;
- Experience managing websites and CMS (Content Management Systems); WordPress experience strongly preferred;
- Strong understanding of how CRM, email, and web platforms work together as a marketing system;
- Experience designing data structures, segmentation models, and reporting frameworks;
- Strong analytical and problem-solving skills;
- Ability to translate strategy into scalable systems and workflows;
- Collaborative work style and comfort working cross-functionally;
- Strong organizational judgment and attention to detail;
- Commitment to contributing to an organizational culture of learning and wellbeing; and
- Preference for awareness, understanding, and connection to the Boston community.
Working Conditions & Physical Demands:
- Ability to work for long periods of time at a workstation;
- Ability to use a computer monitor and keyboard for long periods of time; and
- Ability to work onsite and remotely, as required.
