Sr. Campaign Associate, Together for a Greater Boston

Hybrid Schedule (subject to change): In office 3 days a week, Tuesday, Wednesday, and Thursday. Remote Monday and Friday. This schedule may change based on department’s needs and meetings.

Position Budgeted: $60,000.00 - $70,000.00

Position Summary:

The Sr. Campaign Associate plays a central role in advancing Together for a Greater Boston, a bold new effort to inspire $1B in giving to build a Greater Boston that works for everyone. Reporting to the Vice President of Philanthropy and Campaign Director, the Sr. Associate provides high-level strategic, operational, and administrative support, and serves as a trusted partner to departmental leadership.

The role carries primary responsibility for supporting the collaborative development and implementation of the campaign plan, including coordinating campaign activities across all internal departments and external stakeholders such as Board and volunteer leadership. In addition, the Sr. Associate is responsible for operational and administrative support, including complex calendar management, meeting coordination, Salesforce entry and reporting, project management, and expense processing.

Success in this role requires strong organizational judgment, attention to detail, customer service orientation, and the ability to manage multiple priorities independently in a collaborative environment. The Sr. Associate serves on the Development Team of the Philanthropy Department.

Essential Functions:
Campaign Operations and Project Management

  • Serves as the primary administrative support for the Vice President and Campaign Director, including complex calendar management, scheduling, and processing of expense reports; 
  • Coordinates internal and external meetings related to Together for a Greater Boston, often in collaboration with colleagues across the organization, and develops agendas and supporting materials, including PowerPoint presentations as necessary; 
  • Attends meetings and prepares meeting notes as necessary;
  • Manages special projects, including working with external consultants;
  • Maintains prospect and donor records in Salesforce database; ensures timely entry of activities;
  • Monitors, analyzes, and evaluates campaign progress to goals; provides regular reporting;
  • Manages campaign budget and processes all invoices and contracts; and 
  • Acts as a dependable operational point of contact, ensuring campaign leaders and volunteers are supported, prepared, and able to focus on strategic priorities.

Stakeholder Engagement

  • Manages and cultivates a small portfolio of Donor Advised Fund holders and supports donor engagement activities of the Vice President and Campaign Director as necessary; 
  • Provides support for donor engagement activities of organizational leadership (e.g., President and CEO) and campaign cabinet, including managing outreach, research briefs, and follow up correspondence for individual meetings, donor salons and events related to Together for a Greater Boston; and  
  • Develops and maintains systems and records for campaign prospects, including relationship mapping for campaign volunteer leadership. 

Communication

  • Drafts written communications to Board of Directors and campaign volunteer leadership;
  • Drafts written communications to groups of internal stakeholders, e.g., Campaign Working Group, Salesforce Reporting Working Group, etc.; and  
  • Develops presentation materials to support donor engagement as necessary, including PowerPoint presentations.

Qualifications

Preparation, Knowledge, Previous Experience:

  • Bachelor’s degree or equivalent experience; and
  • At least 3 years of related work experience. 

Skills, Abilities, Competencies:

  • Familiarity with and/or interest in the non-profit sector, fundraising/development, and/or non-profit management;
  • Excellent demonstrated administrative, operational and calendar management skills;
  • Strong organizational skills and impeccable attention to detail and accuracy;
  • Customer service orientation;
  • Excellent written and verbal communication skills; demonstrated experience communicating with donors and other external stakeholders;

  • Demonstrated expertise with Microsoft Office products - especially Word, Excel, Outlook and Power Point;
  • Demonstrated expertise in data management and reporting skills; database experience in Salesforce required;
  • A can-do and will-do attitude, i.e. no task is too high level nor too basic; 
  • Willingness and ability to handle confidential information in a discreet manner;

Working Conditions & Physical Demands:

  • Ability to work at workstation for long periods of time;
  • Ability to work on site and/or remotely, as required; and
  • Ability to use a keyboard for extended periods of time.
